This article outlines how to to create an extra Redtail user that has permission to only see your clients. This is useful when you have a lot of other contacts in Redtail that you don't want to add to inStream.
CREATING YOUR TEAM IN REDTAIL
Go to https://accounts.redtailtechnology.com/ and login with your Redtail credentials.
To begin the Redtail client permissioning, go to Manage Your Account and click Manage Database Users & Teams.
We will need to create two teams. One for All Redtail Records and one for inStream Clients. Click Create New Team.
Select the team members who should be included in this first team, All Redtail Records, and click Create New Team.
Next, create the inStream Clients team by clicking Create New Team.
Select the team members who should be included on the inStream Clients team, and click Create New Team.
Next, go to your Contacts list so we can begin the team permissioning. Select all of the clients to be permissioned to the All Redtail Records team.
Click the Options drop-down from the Results Options and click Bulk Permission Change.
From the drop down menu, choose the Selected Database Team option, and choose the All Redtail Records team. Make sure to check the box to Replace existing permissions.
Click OK to accept the permissioning of the new team.
Next, go back to your Contacts list and select all of the contacts to be permissioned to the inStream Clients team.
Click the Options drop-down from the Results Options and click Bulk Permission Change.
From the drop down menu, choose the Selected Database Team option, and choose the inStream Clients team. Make sure to check the box to Replace existing permissions.
Click OK to accept the permissioning of the new team.
Now that you have created a team, your firm’s users will now have access to the Redtail Integration if they enter their own set of Redtail credentials while logged in as Advisors (described below).
LINKING YOUR REDTAIL TEAM TO INSTREAM
The last step is to link the new Redtail team to inStream.
- Login as an Advisor to enter your Redtail advisor credentials.
- Go to the Settings tab and click on Integrations.
- Navigate to the CRM tab and click the Edit button. Enter your set of Redtail credentials and click Connect to Redtail. When you see the success notification, the Redtail integration is now setup.
